Job Title:          BIA MANAGER

Salary Range:  $38,000-41,000 Full Time, 37.5hrs/week

Job Location:    BIA Office, 8 West St. N., Huntsville, ON P1H 2B6

Reports to:        BIA Board of Directors

JOB SUMMARY:

·        Provides membership communications

·        Assists with event development and delivery

·        Provides administrative support to The Board of Directors.

·        Interacts with Downtown Huntsville BIA business owners and property owners, Town staff, and the public

·        Provides prompt response to all inquiries in a courteous and efficient manner

·        Encourages the promotion of the downtown at every opportunity

·        Demonstrates exemplary customer relations skills that project a superior company image

 

PROMOTION AND EVENTS:

Promote the downtown as both a place to locate a business and a place to shop, eat and obtain needed services.

 1) Major Events and Promotions:

Assist with the development and planning of the major Promotional Events. Oversee the implementation of all tasks necessary for the event to occur. Ensure that the event is well advertised and promoted. Coordinate event activities on the day(s) of the event. Work with the Board to ensure adequate volunteers are available as required.

 2) Media Advertising:

Assist with the development of media advertising strategies for the Downtown. Negotiate with suppliers concerning price, scheduling terms etc., develop or have developed print and radio ads. Follow up on implementation

 4) Tourism agencies:

Communicate and work with other organizations (Chamber, Muskoka Tourism, RTO 12) regarding the downtown as a place for tourists to visit, shop and eat as well as a place for business to locate.

 5) Public relations:

Represent the downtown to the community at large.  Be available as a spokesperson, promoting the downtown. At all times, be aware of the importance of this role and ensure that the BIA is represented in a professional and Business-like manner.

 6) Businesses and Business Organizations:

Work with other businesses or organizations when opportunities to promote the downtown become available

7) Perspective Businesses:

Meet any perspective business people investigating the Downtown as a possible location. Provide them with assistance and information.

 8) Reporting:

Ensure that all significant promotional issues and decisions are brought to the attention of the Promotion and Events Chair.

 

BEAUTIFICATION:

Ensure the Downtown is attractive, clean, and inviting.

 1) Town of Huntsville:

Inter-relate with the Town’s employee(s) responsible for maintaining the downtown. Ensure all necessary tasks are done. Communicate any problems or needs to them.

 2) Banners, Flags and Displays:

Co-ordinate any flags or banners. Ensure Christmas displays and lights are in place when required.

 3) Reporting:

Ensure that all significant beautification issues and decisions are brought to the attention of the Beautification Chair.

 

MEMBER COMMUNICATION:

Maintain a two-way communication between fellow members and between members of the board.

 1) Newsletter:

Prepare the regular e-newsletter for the members. It must contain all relevant information in a professional and accurate format. Ensure it is distributed in a timely and efficient manner. Establish and adhere to a regular monthly publication date.

2) Office Hours:

Be available at the BIA office for a limited number of regularly scheduled hours each week. This will provide members, board members, and others from the community at large with a regularly scheduled opportunity to communicate with the BIA Executive Director

 4) Phone System:

Maintain a professional phone answering system. Ensure that all phone messages are promptly returned.

 5) Reporting:

Establish a regular schedule of communication with the Chair of the Board of Management and when required with specific Chair’s of the Board.

 6) Regular Member Visits:

Maintain a reasonable pattern of visiting all members to discuss BIA business and concerns. Relate members’ questions and concerns back to the Board. Follow-up on specific inquiries by individual members.

 7) Information Dissemination:

Distribute relevant information to the membership as it becomes available. Circulate to all members flyers, welcome signs and other relevant information sheets either with the newsletter, through email, or hand delivery as required.

 8) New BIA Members:

Ensure all new business locating in the Downtown are immediately contacted and made aware of the BIA. Provide them with all assistance possible. Attempt to involve them in BIA activities.   Maintain a new member information guide and ensure that it is included with the new member kits.

 9) Social Media:

Ensure that BIA Twitter and Facebook accounts are regularly updated and maintained, while making them enticing to follow. 

 10) Member Database

Maintain a detailed database of all BIA business members, updated as appropriate. This includes a detailed email database through Constant Contact for sending out member information between newsletters.

 11) Visitor Email Contact List

Maintain through Constant Contact a list of individuals interested in being a part of our Downtown Huntsville Upcoming Events email list. Contact these individuals quarterly with information on upcoming BIA events and promotions.

 

ADMINISTRATION AND FINANCIAL MATTERS:

Oversee the daily administrative tasks of the BIA.

 WEBSITE:

Oversee the management of the downtownhuntsvilleadventures.ca

DOWNTOWN DOLLARS:

Maintain the downtown dollar program

 BIA ISSUES:

Ensure that the BIA is kept informed of all issues relating to the BIA and that it provides input to the organizations dealing with these issues.  

 

QUALIFICATIONS:

  •  Post-secondary education or related work experience preferred

  • Experience providing administrative support

  • Strong organizational skills with attention to detail

  • Exceptional interpersonal and customer service skills

  • Professional telephone manner

  • Excellent communication skills, both verbal and written

  • Ability to work both independently and as part of a team

  • Demonstrated ability to work with sensitive and confidential information

  • Computer application skills, specifically word processing
